Cancellation Letter Generator
Cancel a subscription, gym, contract or policy in writing, with a notice date.
About this tool
Enter your details, the company, what you're cancelling and your account number, then choose when it should end: immediately, after a notice period or on a set date. Add an optional reason, how you pay, any equipment to return, and whether to ask for a refund of any overpayment and deletion of your data. Pick a friendly, formal or firm tone, then copy, download or print the letter. The draft is saved in this browser so you can come back to it.
How to cancel a subscription or contract in writing
Cancelling in writing creates a dated record of exactly what you asked for and when, which matters if charges continue or the company later says it never received notice. A good cancellation letter is short and specific. It identifies you and your account or membership number, states clearly that you are cancelling and from what date, and asks the company to stop taking payments and confirm the cancellation in writing. Before sending, check your contract or terms for three things: the notice period, such as 30 days or one month; any minimum term, during which cancelling early may cost a fee; and how notice must be given, since some companies require an online form, an email to a particular address or a letter. Giving a reason is usually optional, although some contracts allow free cancellation for reasons such as moving out of the area. If you pay by Direct Debit or a recurring card payment, you can also cancel the payment instruction with your bank, but that alone usually doesn't end the contract, so do both. Under data protection laws such as the UK and EU GDPR you can also ask the company to delete personal data it no longer needs. Keep a copy of your letter and the company's confirmation. Honest limits: this is a general template, not legal advice, and your rights depend on your contract and where you live. The complaint letter generator handles disputes and the subscription tracker keeps an eye on recurring costs.
Frequently asked questions
How do I cancel a gym membership in writing?
Send a letter or email with your name, membership number, the date you want it to end, and a request to stop payments and confirm in writing.
Do I have to give a reason for cancelling?
Usually not. Check your contract; some allow free cancellation only for specific reasons, such as moving away.
Is cancelling my Direct Debit enough?
Usually not. It stops the payment, but the contract may continue and the company can still chase what you owe, so cancel the contract too.
Is my data saved?
Your draft is saved only in this browser so you can return to it; it's never uploaded.
