Meeting Agenda Generator

A timed meeting agenda with owners, start times, purpose and pre-reads.

About this tool

Enter the meeting title, date, start time and location, the purpose, roles, attendees and any pre-reads. Then list the agenda items, one per line, as "Topic | owner | minutes". The agenda shows each item's start and end time, the total length and the finishing time, ready to copy into an invite, print or download.

How to run a meeting with a good agenda

A useful agenda starts with the purpose: the decision or outcome the meeting exists to reach. If you cannot write one, the meeting may not be needed. Put the most important items early while people are fresh, give each item an owner and a time box, and finish with a few minutes to recap decisions and actions. The example plans a 10:00 meeting with five items of 5, 10, 20, 15 and 5 minutes, so it runs 55 minutes and ends at 10:55. That leaves a buffer before the next hour. Send the agenda at least a day ahead with any pre-reads, so people arrive prepared, and turn status updates that need no discussion into an email. The status line warns when the total runs past an hour. The meeting minutes template records what was decided, the meeting cost calculator shows what everyone's time costs and the meeting timer keeps items to time. Does the Pomodoro technique actually work? covers working in time boxes.

Frequently asked questions

What should a meeting agenda include?

The purpose, date, time and place, attendees and roles, pre-reads, and a list of items each with an owner and a time.

How long should a meeting be?

As short as the purpose allows. Many teams default to 25 or 50 minutes so people have a break before the next meeting.

How do I format agenda items here?

One per line as Topic | owner | minutes, for example: Budget review | Dana | 15.

Is my draft saved?

Yes, in your browser only. It is never uploaded, and Start over clears it.
