Meeting Request Email

A short email asking for a meeting, with agenda and time options.

About this tool

Enter who you're writing to, how you know them, what the meeting is for, how long it takes and whether it's a video call, phone call or in person. Add agenda points and two or three time options, one per line. Pick a friendly or formal tone and the tool writes the subject line and email, with a word count. The draft is saved in your browser.

How to ask for a meeting by email

Busy people say yes to meetings that are short, clear and easy to schedule. Start with context, such as where you met or who referred you, so the email doesn't feel cold. State the purpose in one sentence ("to talk about stocking our range in your three Leeds shops") and the length: 15 or 30 minutes is easier to accept than "a chat". A few agenda points show the meeting has a point and let the other person prepare. Then remove the back-and-forth by offering two or three specific times. Include the time zone if you're in different places, or use a scheduling link. Keep the whole email under about 150 words, with a subject line that says what you're asking for. If there's no reply after three to five working days, send one polite follow-up in the same thread. Once they agree, send a calendar invite with the agenda and the video link or address. Honest limits: the tool doesn't check calendars or time zones for you. The meeting agenda generator, the meeting planner and the follow-up email generator are related.
